2. Partner Eligibility & Registration

To list on StayWorld Bookings as a Partner, you must:

  • Be at least 18 years of age and have full legal capacity to enter into contracts under applicable law.
  • Be the legal owner of the listed property, hold a valid lease or management agreement that permits sub-letting or booking, or be duly authorised by the owner in writing.
  • Comply with all applicable local government, municipal, and national licensing requirements for operating accommodation or service businesses in your jurisdiction.
  • For accommodation providers: comply with applicable tourism regulations and standards in your jurisdiction.
  • Have a complete StayWorld Bookings partner profile including accurate business name, contact information, location, and property details.
  • Not be currently suspended, banned, or under investigation by StayWorld Bookings for policy violations.
Business Registration: While StayWorld Bookings does not mandate business registration for all categories, commercial operators (hotels, hostels, fitness centres, and properties with multiple units) are strongly advised to be properly registered according to applicable business laws in their jurisdiction. Failure to comply with applicable licensing laws is solely your responsibility.

3. Listing Standards & Accuracy

3.1 Truthful Representation

All listing content - including title, description, photos, amenities, pricing, house rules, location, and availability - must be accurate, complete, and not misleading. Providing false or materially misleading listing information constitutes a serious violation of this Policy.

3.2 Photo Standards

Photos must:

  • Accurately represent the property and its current condition.
  • Be taken at the listed property (not stock photos, photos of other properties, or digitally altered representations).
  • Not contain personal data of individuals without their explicit consent.
  • Meet StayWorld Bookings's minimum quality guidelines (resolution, lighting, framing).

3.3 Availability & Pricing Accuracy

You must keep your availability calendar and pricing current at all times. Listing a property as available when it is not, or advertising a price different from what Guests pay, is strictly prohibited.

3.4 Listing Updates

You must promptly update your listing if:

  • The property condition changes materially (e.g., renovation, damage).
  • Advertised amenities become unavailable.
  • The property is no longer legally permitted to accept guests.
  • Ownership or management responsibility changes.

4. Booking Acceptance & Response Times

4.1 Response Obligation

For request-based listings, you must respond to booking requests (accept or decline) within the following timeframes:

Request TypeRequired Response Time
Standard booking requestWithin 24 hours of receipt
Same-day / urgent requestWithin 4 hours of receipt

Failure to respond within the required timeframe may result in the request expiring, which counts as a declined booking for the purposes of StayWorld Bookings's response rate metrics.

4.2 Declining Bookings

You may decline a booking for legitimate, non-discriminatory reasons, including but not limited to: unavailability, property maintenance, minimum stay requirements not met, or the Guest's stated purpose being incompatible with the property. You may not decline bookings based on a Guest's race, ethnicity, national origin, religion, gender, disability, sexual orientation, or any other protected characteristic (see Section 10).

4.3 Maintaining Acceptance Rate

Partners are expected to maintain a reasonable acceptance rate. Partners with a pattern of repeated unjustified declines may have their listing ranking reduced or their account reviewed.

5. Instant Booking Obligations

By enabling the ⚡ Instant Booking setting on your listing, you make the following binding commitments:

  • You will honour every instant booking without exception, except in cases of documented technical error or confirmed fraud.
  • You will only enable instant booking when the property is genuinely available for the bookable dates.
  • If you are unable to honour a confirmed instant booking for any reason, you must notify StayWorld Bookings via support@stayworld.app within 2 hours of the booking confirmation.
  • Failure to honour a confirmed instant booking without valid grounds may result in: (a) a full refund to the Guest, (b) a penalty to your partner account, and (c) potential suspension of the instant booking feature on your listing.
Warning: Repeatedly failing to honour instant bookings will result in permanent removal of the Instant Booking feature from your listing and may trigger suspension of your Partner account. Guests who experience unhonouredinstant bookings may also seek compensation directly from you as the contracting party.

6. Pricing & Fee Transparency

6.1 Price Setting

You set your own prices. However, the price displayed to Guests in the StayWorld Bookings checkout must be the total price the Guest will pay at the property for the advertised accommodation or service. Any additional mandatory charges (cleaning fees, resort fees, tourism taxes) must be disclosed in the listing and reflected at checkout.

6.2 No Off-Platform Surcharges

You may not charge Guests any amount beyond what was agreed at checkout, except for:

  • Verified damage charges (subject to the dispute process in Section 12).
  • Optional on-site services (meals, laundry, tours) that were clearly not included in the booking price.
  • Late check-out fees that were disclosed in the listing.

6.3 Currency

Prices must be denominated in a supported currency as agreed with StayWorld Bookings. You are responsible for converting prices accurately if you operate across different currency zones.

7. Cancellations by Partners

Critical: Partner-initiated cancellations of confirmed bookings are taken extremely seriously. They disrupt Guest travel plans and damage StayWorld Bookings's marketplace integrity.

7.1 Consequences of Partner Cancellation

If you cancel a confirmed booking, the following consequences apply:

  • A full refund of any amounts paid by the Guest will be processed immediately, at no cost to the Guest.
  • Your Partner account will receive a cancellation strike. Three or more partner-initiated cancellations within any 12-month period may result in listing suspension.
  • A visible cancellation record may be noted on your listing page, visible to future Guests.
  • You may be liable to reimburse StayWorld Bookings for any costs incurred in assisting affected Guests (e.g., alternative accommodation sourcing costs).

7.2 Legitimate Grounds for Partner Cancellation

StayWorld Bookings recognises the following as potentially legitimate grounds for Partner cancellation (subject to evidence):

  • Verified property damage or structural safety emergency.
  • Government-mandated closure or health authority order.
  • Confirmed death or serious medical emergency of the primary property manager with no available substitute.
  • Documented confirmed fraud or severe misrepresentation by the Guest.

In such cases, submit supporting evidence to support@stayworld.app within 24 hours of cancellation. Approved cancellations will not count against your cancellation rate.

8. Cancellation Policy Setting

You must select a cancellation policy that applies to all bookings of your listing. Available policies are:

PolicyRefund to Guest if Cancelled Before DeadlineRefund Within Deadline
Flexible100% if cancelled 24+ hours before check-in0%

You may not retroactively change your cancellation policy to make it more restrictive for existing bookings. Policy changes apply only to future bookings made after the update.

9. Guest Check-In & Service Standards

9.1 Provision of Agreed Services

You are legally obligated to provide the accommodation or service as described in your confirmed listing at the agreed time, price, and standard. Failure to do so constitutes a breach of contract with the Guest and a violation of this Policy.

9.2 Check-In Requirements

  • Provide clear, accurate check-in instructions at least 24 hours before the Guest's arrival.
  • Be available (or have a designated representative available) at the check-in time specified in the listing.
  • If check-in will be delayed, notify the Guest promptly with a new time and obtain their agreement.

9.3 Property Standards

The property must be:

  • Clean, safe, and in the condition represented in your listing photos and description.
  • Free of health hazards, vermin, or structural defects that were not disclosed to the Guest.
  • Equipped with all amenities and features listed as included in the booking price.
  • Compliant with all applicable local building codes, fire safety regulations, and health standards under applicable law.

9.4 Emergency Contacts

You must provide Guests with at least one emergency contact number (reachable 24 hours a day during the stay) through the StayWorld Bookings platform at the time of booking confirmation.

10. Non-Discrimination Policy

StayWorld Bookings is committed to providing a platform that is free from unlawful discrimination. As a Partner, you may not:

  • Decline bookings, offer inferior service, or treat Guests differently on the basis of race, colour, ethnicity, national origin, religion, gender, age, disability, marital status, or any other characteristic protected under applicable anti-discrimination laws or international human rights standards.
  • Use language in your listing description or communications that signals a preference for or against Guests based on any protected characteristic.
  • Apply different pricing or service terms to Guests based on protected characteristics.
Zero Tolerance: Verified discriminatory conduct by a Partner will result in immediate, permanent removal from the StayWorld Bookings platform with no right of reinstatement, and may be reported to relevant human rights authorities in your jurisdiction.

11. Reviews & Ratings

Guests may leave honest reviews of their experience at your property. You agree that:

  • You will not offer Guests any incentive (cash, discounts, gifts) to post positive reviews or to refrain from posting negative reviews.
  • You will not threaten, harass, or penalise Guests for posting honest negative reviews.
  • You may post a professional, factual response to any Guest review through the Platform.
  • StayWorld Bookings will remove reviews that are proven to be fake, fraudulent, or to violate StayWorld Bookings's community standards. StayWorld Bookings does not remove negative reviews solely because the Partner disagrees with the Guest's assessment.

Review manipulation - including posting fake positive reviews about your own property or fake negative reviews about competitors - constitutes fraud and may result in permanent account termination and referral to relevant law enforcement authorities.

12. Damage Claims

12.1 Reporting Timeline

To initiate a damage claim against a Guest, you must:

  • Report the damage to StayWorld Bookings within 72 hours of Guest check-out.
  • Provide clear photographic or video evidence of the damage.
  • Provide an itemised estimate of repair or replacement costs from a qualified supplier.

12.2 StayWorld Bookings's Role in Damage Claims

StayWorld Bookings will facilitate communication between you and the Guest regarding the damage claim and may provide mediation. StayWorld Bookings does not act as insurer and does not guarantee recovery of damage costs from Guests. Partners are strongly advised to obtain appropriate property and liability insurance.

12.3 Insurance Recommendation

StayWorld Bookings strongly recommends that all Partners maintain comprehensive property insurance, public liability insurance, and - where applicable - income protection insurance adequate for their hosting activities.

13. Regulatory & Legal Compliance

As a Partner, you are solely responsible for understanding and complying with all laws, regulations, and government directives applicable to your accommodation or service business in your jurisdiction, including but not limited to:

  • Tourism and hospitality regulations and standards for accommodation and tourism service providers.
  • Public health and sanitation standards.
  • Applicable national standards regulations - where applicable to fitness or food service.
  • District and municipal authority by-laws and business licences for the specific locality in which your property is located.
  • Immigration and tourism regulations where your property receives international visitors, including any guest registration requirements for accommodation providers.
  • Fire safety and building code compliance under applicable local government regulations.
  • Environmental compliance under applicable environmental laws.

StayWorld Bookings does not obtain, maintain, or guarantee any licences or regulatory approvals on behalf of Partners. Regulatory non-compliance by a Partner is not StayWorld Bookings's liability.

14. Tax Obligations

You are solely responsible for determining, collecting, and remitting all applicable taxes on income earned through StayWorld Bookings bookings, including but not limited to:

  • Income Tax: Revenue from hosting is taxable income and must be declared to the relevant tax authority in your jurisdiction.
  • Value Added Tax (VAT) or similar taxes: If your annual turnover from hosting exceeds the applicable registration threshold in your jurisdiction, you are required to register for and remit applicable taxes on taxable supplies.
  • Tourism Levy: As applicable under tourism regulations for registered accommodation providers in your jurisdiction.
  • Local Service Taxes: As applicable under local authority regulations.

StayWorld Bookings may issue informational statements of bookings processed through the platform but does not act as a tax collection agent and does not withhold or remit taxes on your behalf, except as required by applicable law.

Tax Compliance: We strongly recommend that all Partners obtain independent tax advice from a qualified tax professional in their jurisdiction to ensure full compliance.

15. Data Protection & Guest Privacy

In operating as a StayWorld Bookings Partner, you will receive certain personal data about Guests (such as their name, contact details, and booking information) for the sole purpose of facilitating their stay. As a data recipient, you must:

  • Comply with applicable data protection laws in your jurisdiction in relation to all Guest data you receive through the Platform.
  • Use Guest data exclusively for fulfilling the confirmed booking and communicating about that booking.
  • Not sell, share, or transfer Guest personal data to any third party except as strictly necessary for service delivery (e.g., your housekeeping staff).
  • Not use Guest contact information for marketing, solicitation, or any purpose unrelated to the booking, without the Guest's explicit consent.
  • Securely delete or anonymise Guest data that you no longer require for service delivery, in accordance with applicable data retention limits.
  • Notify StayWorld Bookings promptly if you become aware of any unauthorised access to or breach of Guest data in your custody.

16. Prohibited Conduct

The following conduct is strictly prohibited and will result in immediate account termination and may be referred to law enforcement:

  • Fraudulent listing of properties you do not own or have no authority to list.
  • Creating fake reviews of your own property or of competing properties.
  • Charging Guests undisclosed fees or misrepresenting the nature of charges.
  • Threatening, defrauding, coercing, or harassing Guests.
  • Facilitating or knowingly permitting illegal activities at your property, including unlicensed commercial sex work, drug trafficking, human trafficking, or any related offences under applicable law.
  • Using the Platform to launder money or engage in financial fraud in violation of applicable anti-money laundering laws.
  • Operating a property without required government licences while listing on StayWorld Bookings (where StayWorld Bookings becomes aware of this).
  • Misusing Guest data or violating Guest privacy in any manner inconsistent with Section 15 or applicable data protection laws.
  • Instructing or encouraging Guests to pay outside the Platform in order to circumvent StayWorld Bookings's booking system.

17. Listing Suspension & Removal

StayWorld Bookings reserves the right to suspend or permanently remove any listing and/or Partner account at any time, with or without prior notice, if:

  • The Partner violates this Policy, the Listing Terms, or the Terms of Service.
  • The listing receives verified reports of safety hazards, health violations, or fraudulent practices.
  • The Partner accumulates three or more cancellation strikes within a 12-month period.
  • The Partner's response rate falls below acceptable thresholds.
  • The Partner engages in prohibited conduct as described in Section 16.
  • StayWorld Bookings is required to do so by a court order, government authority, or law enforcement agency.
  • The Platform determines in its reasonable judgment that continued listing poses a reputational, legal, or safety risk.

StayWorld Bookings will use reasonable efforts to provide Partners with 7 days' advance notice before suspension, except in cases involving fraud, safety emergencies, or law enforcement requirements, where immediate action is necessary. Suspended Partners may appeal by contacting support@stayworld.app within 14 days of notification.

18. Platform Fees & Payouts

18.1 Commission Structure

StayWorld Bookings charges Partners a commission on each completed booking. The current commission rate is disclosed in the Platform's Partner settings and during listing creation. StayWorld Bookings reserves the right to amend its commission structure upon 30 days' written notice to Partners.

18.2 Payout Schedule

Payouts for completed bookings become releasable no earlier than 24 hours after the Guest's recorded check-out. StayWorld Bookings finance then disburses the net amount to your registered payout account (mobile money or bank) within 1–3 business days. Payouts may be delayed in the event of an open dispute, damage claim, fraud investigation, or system error.

18.3 Disputed Payouts

If you believe a payout is incorrect or missing, you must raise the issue with StayWorld Bookings within 30 days of the expected payout date. Claims raised after this period may not be honoured.

18.4 Chargebacks

In the event a Guest successfully initiates a chargeback through their payment provider for a booking where services were provided, StayWorld Bookings reserves the right to recover the disputed amount from the Partner's pending or future payouts, pending investigation of the chargeback.

19. Partner Liability

As a Partner, you accept full legal responsibility for:

  • The accuracy and lawfulness of your listing content.
  • The safety, legality, and quality of the accommodation or service you provide to Guests.
  • Compliance with all applicable local and international laws governing your accommodation or service business.
  • All financial obligations arising from confirmed bookings, including refunds owed to Guests due to your cancellation or material failure to deliver the promised service.
  • Any injury, damage, or loss suffered by a Guest arising from your property or actions, to the extent not caused by the Guest's own negligence or misconduct.

You agree to indemnify, defend, and hold harmless StayWorld Bookings, its officers, directors, employees, and agents from and against any and all claims, damages, losses, costs, and expenses (including reasonable legal fees) arising out of your use of the Platform, your listings, your failure to comply with this Policy, or your breach of any contract with a Guest.
